Learn how to manage your subscription, update billing information, and control your account.

Managing Your Subscription

View Subscription Details

To view your current subscription:

  1. Go to your Dashboard
  2. Click on your profile icon (top right)
  3. Select "Billing & Subscription"
  4. View your current plan, renewal date, and token allocation

Upgrading Your Plan

To upgrade to a higher plan:

  1. Navigate to Billing & Subscription
  2. Click "Upgrade Plan"
  3. Select your new plan
  4. Review the prorated charge
  5. Click "Confirm Upgrade"

💡 Prorated Billing

When you upgrade, you'll only pay the difference for the remaining days in your billing cycle. Your token allocation increases immediately.

Downgrading Your Plan

To downgrade to a lower plan:

  1. Navigate to Billing & Subscription
  2. Click "Change Plan"
  3. Select a lower-tier plan
  4. Confirm the downgrade

⚠️ Important Notes on Downgrading

  • • Downgrades take effect at the start of your next billing cycle
  • • You retain current plan features until the renewal date
  • • No refunds for unused portion of current billing period
  • • Playbooks/automations may be disabled if exceeding new plan limits

Billing Information

Update Payment Method

To update your credit card:

  1. Go to Billing & Subscription
  2. Click "Payment Methods"
  3. Click "Add Payment Method"
  4. Enter new card details
  5. Set as default (optional)
  6. Remove old card if desired

View Billing History

To view past invoices:

  1. Go to Billing & Subscription
  2. Click "Billing History" tab
  3. View list of all past invoices
  4. Click any invoice to download PDF
  5. Resend invoice to email if needed

Update Billing Information

To update billing address or company details:

  1. Go to Billing & Subscription
  2. Click "Billing Information"
  3. Update your details:
    • Billing email
    • Company name
    • Billing address
    • Tax ID/VAT number
  4. Click "Save Changes"

Canceling Your Subscription

How to Cancel

To cancel your subscription:

  1. Go to Billing & Subscription
  2. Scroll to bottom and click "Cancel Subscription"
  3. Select a cancellation reason (optional but helpful)
  4. Confirm cancellation
  5. You'll receive a confirmation email

What Happens When You Cancel

  • Your subscription continues until the end of current billing period
  • You retain full access to paid features until renewal date
  • You won't be charged for the next billing cycle
  • After expiration, your account converts to Free plan
  • Your data and settings are preserved
  • You can resubscribe anytime

💜 Pause Instead of Cancel?

Need a break? Contact support@arka-ai.com to pause your subscription for up to 3 months instead of canceling. Your plan and data will be waiting when you return.

Reactivating a Canceled Subscription

To reactivate your subscription:

  1. Go to Billing & Subscription
  2. Click "Reactivate Subscription"
  3. Select a plan
  4. Update payment method if needed
  5. Click "Reactivate"

Your subscription resumes immediately with full access to all features.

Setting Spending Limits

Overage Spending Caps

To prevent unexpected overage charges:

  1. Go to Billing & Subscription
  2. Click "Spending Limits"
  3. Toggle on "Enable Overage Cap"
  4. Set your maximum overage budget (e.g., $50/month)
  5. Click "Save"

When you reach your overage cap, AI requests will be paused until:

  • You increase the spending limit
  • You upgrade to a higher plan
  • Your monthly allocation resets

Usage Alerts

Set up email alerts for token usage:

  1. Go to Billing & Subscription
  2. Click "Usage Alerts"
  3. Configure alerts:
    • 50% of monthly allocation
    • 80% of monthly allocation
    • 90% of monthly allocation
    • Entering overage
    • Daily usage summary
  4. Click "Save Preferences"

Tax Information

Sales Tax & VAT

Depending on your location, sales tax or VAT may apply:

  • US customers: Sales tax calculated based on billing address
  • EU customers: VAT applied unless valid VAT ID provided
  • Other regions: Local taxes may apply

Add VAT ID (EU Customers)

To add your VAT ID and qualify for reverse charge:

  1. Go to Billing & Subscription
  2. Click "Tax Information"
  3. Enter your VAT ID
  4. We'll validate it with VIES database
  5. Future invoices will reflect reverse charge VAT

Enterprise Billing

Invoice Billing (Enterprise Only)

Enterprise customers can pay via invoice:

  • Annual or quarterly billing cycles
  • NET 30 payment terms
  • ACH or wire transfer payment
  • Custom purchase orders
  • Multi-year contracts with discounts

Multi-Seat Licenses

For teams requiring multiple accounts:

  • Shared token pool across team members
  • Centralized billing and admin controls
  • Volume discounts for 10+ seats
  • Single invoice for entire team

Refund Policy

Eligibility

Refunds are available:

  • Within 14 days of initial purchase or upgrade
  • Technical issues: Service unavailable for extended period
  • Duplicate charges: Accidental double billing
  • Dissatisfaction: Case-by-case basis within 14 days

How to Request a Refund

  1. Email support@arka-ai.com
  2. Include:
    • Account email
    • Invoice number or date
    • Reason for refund request
  3. We'll respond within 24 hours
  4. Approved refunds processed within 5-10 business days

Billing FAQ

Can I change my billing date?

Your billing date is set when you first subscribe and cannot be changed. However, you can cancel and resubscribe on your preferred date (note: this will reset your token allocation).

What if my payment fails?

If a payment fails:

  • We'll retry the charge 3 times over 7 days
  • You'll receive email notifications
  • Update your payment method to avoid service interruption
  • After 7 days, your account downgrades to Free plan

How do I get a receipt?

Receipts are automatically emailed after each successful payment. You can also download invoices from Billing History anytime.

Do you offer annual billing?

Yes! Annual billing saves 15% compared to monthly. Switch to annual billing in your Billing & Subscription settings.
