Gmail Management

AI-powered email classification, intelligent draft generation, scheduling, and inbox management to handle your email more efficiently.

Overview

Gmail Management brings AI assistance to your email workflow. Automatically classify incoming emails, generate contextual responses in your preferred tone, schedule sends for optimal timing, and keep your inbox organized—all from within ARKA AI.

Email Classification

When you sync emails, the AI automatically analyzes and categorizes each message based on its content, sender, and context.

Classification Categories

Classification Details

Each classified email includes:

  • Confidence Score: How certain the AI is about the classification (0-100%)
  • Keywords: Key terms identified in the email content
  • Reasoning: Brief explanation of why this category was chosen

Reclassification

If an email is incorrectly classified, you can manually reclassify it. This helps improve future classifications as the system learns from corrections.

Inbox View

The Inbox tab provides a streamlined view of your emails with powerful filtering and management options:

Filtering Options

  • By Category: View only Work, Personal, Newsletter, etc.
  • Unread Only: Focus on emails you haven't read yet
  • Search: Find emails by subject, sender, or content
  • Starred: View emails you've marked as important

Email Actions

From the inbox, you can:

  • Mark emails as read/unread
  • Star/unstar important emails
  • View full email details and attachments
  • Generate AI draft responses
  • Reclassify incorrectly categorized emails

AI Draft Generation

Generate contextual email responses using AI. The system analyzes the original email and creates appropriate replies in your chosen tone.

Generating a Draft

Open the Email

Click on an email in your inbox to view its full content and details.

Click Generate Draft

Click the "Generate Draft" button to open the draft generation dialog.

Select Tone

Choose from four tone options: Professional, Friendly, Casual, or Formal. Each produces a distinctly different response style.

Add Instructions (Optional)

Provide additional context or specific points you want included in the response.

Review and Edit

Review the generated draft, make any edits needed, then save or send.

Multiple Draft Options

You can also generate multiple drafts at once to compare different approaches. Click "Generate Multiple Options" to create responses in all four tones simultaneously, then pick the one that fits best.

Draft Management

All generated drafts are saved and tracked in the Drafts tab with the following statuses:

Email Scheduling

Schedule emails to be sent at the optimal time for your recipients.

Generate or Create Draft

Start with an AI-generated draft or write your own response.

Click Schedule

Instead of Send, click "Schedule" to set a future delivery time.

Select Date and Time

Choose when the email should be sent. Times are in your local timezone.

Confirm

Click "Schedule Email" to queue it for delivery. You can cancel or modify scheduled emails until they're sent.

Scheduled Emails

View and manage all scheduled emails in the Scheduled tab. Cancel any email before its scheduled time if plans change.

Best Practices

Review Before Sending

Always review AI-generated drafts before sending. The AI provides a starting point, but personalization improves response quality.

Use Custom Instructions

For important emails, add specific instructions about tone, points to include, or context the AI might not know.

Schedule Strategically

Schedule emails to arrive during business hours in the recipient's timezone for better response rates.

Correct Misclassifications

When you spot an incorrectly classified email, take a moment to reclassify it. This improves future accuracy.
